NAV Online Invoice and AI: reconciliation without the manual grind
In Hungary, the data of virtually every domestic invoice reaches the tax authority in real time. For an accounting firm, that is both an authoritative reference and a recurring monthly burden — this article looks at exactly what automated reconciliation takes off the desk.
What is NAV Online Számla?
NAV Online Számla — the Online Invoice system — is the real-time invoice-reporting platform of NAV, Hungary’s National Tax and Customs Administration. Hungarian invoicing software reports the data of every invoice it issues to the tax authority automatically, with no human action involved. Launched in 2018 and extended in stages, the system now covers practically every invoice issued by a Hungarian taxpayer — every domestic business-to-business invoice without exception.
For an accounting firm, this has a very practical consequence: for each client, there is an authoritative external record of which invoices the client issued and which invoices were issued to them. In other words, the firm can know precisely what ought to appear in the books — regardless of what the client actually handed over.
Why is reconciliation a monthly burden?
In principle, reconciliation is simple: compare the documents that arrived at the firm with the NAV data. In practice, it is meticulous manual work repeated for many clients, every month — querying, exporting, spreadsheets, working through the lists line by line. And the discrepancies are not rare exceptions; they are part of everyday life:
Missing documents
An invoice exists in the NAV data, but the client never handed it over — so it is missing from the books.
Amount or VAT differences
A typo, a wrong VAT rate, or a correction invoice that only appeared on one side of the comparison.
Timing differences
The invoice shows up in one month’s NAV data, while the document itself only arrives the following month.
Duplicates
The same invoice arrives twice — once by email and once on paper — and would be booked twice.
For a firm with twenty or thirty clients, this adds up to several working days of concentration-heavy routine every month — exactly the kind of work where a human eventually slips, while a machine never tires.
What does automated NAV reconciliation mean?
The essence of automated reconciliation is that the data extracted from incoming documents — vendor, amount, VAT rate, date — is compared automatically against the NAV Online Invoice data. Whatever matches gets paired; whatever does not is flagged, item by item.
The key word is flagged. Well-built automation does not smooth discrepancies over — it makes them visible:
- Whatever matches is paired automatically and moves on — no further manual work needed.
- Whatever appears in the NAV data with no document received goes onto a missing-items list.
- Wherever the amount, date or VAT differs, the system shows the exact difference, line by line.
- Every decision stays with the accountant: they request the missing document, correct, or approve.
Fewer surprises when the tax authority calls
Reconciliation has an often underrated payoff: compliance. NAV sees exactly the same invoice data the firm reconciles against — and on the authority’s side, comparing tax returns with invoice data is automated as well. If the books and the NAV data diverge, that divergence sooner or later comes back to the firm as a question.
A firm that reconciles monthly, item by item, faces few surprises in an inquiry or an audit: the discrepancies surfaced and were resolved at the moment of bookkeeping — not discovered years later.
