A guide for accounting firms
The AI accountant: your firm’s AI co‑worker
An AI accountant is not a robot taking the accountant’s chair — it is software that lifts the document-processing burden off the firm. This guide covers what the term actually means, what a real AI accountant must be able to do, and what to check before choosing one.
What is an AI accountant?
An AI accountant is software that automates the document-processing side of bookkeeping with artificial intelligence: it reads invoices, receipts and bank statements, extracts the data, reconciles it against NAV Online Invoice data — the Hungarian tax authority’s real-time registry — and proposes accounting entries. It works like a junior colleague who never tires — and always puts the result in front of the accountant at the end.
What an AI accountant is not: it is not a public chatbot your firm pastes client data into, and not a “robo-accountant” replacing professional judgement. Expertise, interpretation and responsibility cannot be automated — the AI takes over the routine work so more time is left for exactly those.
What the AI takes over
- Reading and capturing documents
- Data extraction: vendor, amount, VAT rate, date
- NAV Online Invoice reconciliation
- Posting suggestions, per client
What stays with the accountant
- Review and approval — on every entry
- Professional judgement and interpretation
- The client relationship and advisory work
- Responsibility — it cannot be outsourced

What a real AI accountant must do
Five capabilities without which “AI accountant” is just a marketing label — and how Kontír AI delivers each one.
Document ingestion
Accept invoices, receipts and bank statements exactly as clients send them — PDFs, photos, scans — and process them without human pre-sorting.
How Kontír AI does it: Incoming documents (PDF or image) are processed automatically — no manual triage, no retyping.
Data extraction
Not rely on fixed templates: read the vendor, amount, VAT rate and date reliably across wildly different invoice layouts.
How Kontír AI does it: Extraction runs on its own AI model — not an external service — so document contents never reach a third party.
NAV reconciliation
Match processed invoices against NAV Online Invoice data — the Hungarian tax authority’s real-time invoice registry — and flag every discrepancy. In many firms this is still a recurring monthly chore.
How Kontír AI does it: Automatic matching against NAV Online Invoice data; discrepancies are flagged, the accountant decides.
Posting suggestions
Go beyond generic categories: suggest entries per the Hungarian chart of accounts and learn how the firm books things for each client.
How Kontír AI does it: Posting suggestions follow the Hungarian chart of accounts and the firm’s own practice — learning per client, getting sharper over time.
Approval queue
Let nothing reach the books without human sign-off — professional responsibility cannot be automated.
How Kontír AI does it: Every entry lands in an approval queue: the accountant reviews and approves; control and responsibility stay with the firm.
Buyer’s checklist
What to check before choosing an AI accountant
Four questions worth putting to every vendor — the answers quickly reveal what stands behind the label.
Is it really AI?
Plenty of “automation” is a fixed template or rule list that breaks on the first unusual invoice layout. Ask: does its own AI model do the extraction, and what happens when a new format arrives?
Where does the data go?
If processing runs through an external AI API or a cloud outside the EU, your clients’ financial data ends up with a third party. Ask: where does the model run, and does the firm get a data processing agreement (DPA)?
Does it learn your habits?
Generic suggestions are not enough: the same expense can be booked differently for two different clients. Ask: does the system learn per client, and does it follow your firm’s own chart-of-accounts practice?
Does the accountant stay in control?
Responsibility cannot be outsourced to software. Ask: is there a mandatory approval step, and an audit trail showing what entered the books, when, and based on what?
Kontír AI was designed as the answer to exactly these questions: its own AI model, private EU operation, per-client learning and a mandatory approval step.
FAQ
Frequently asked questions about AI accountants
Will an AI accountant take the accountant’s job?
No. An AI accountant automates the repetitive, manual side of document processing — the professional judgement, the review and the responsibility stay with the accountant. In Kontír AI every entry goes through an approval queue: the system suggests, the accountant approves.
Where does our clients’ financial data go?
Kontír AI is private AI: it runs on private EU hardware with no external AI API, so financial data never leaves the country. In the Enterprise edition the whole system — AI models included — runs on the firm’s own server. GDPR compliance, a data processing agreement (DPA), an audit trail and data export come with every edition.
How much does Kontír AI cost?
Indicatively, a platform base of HUF 390,000 per firm per month plus HUF 8,000–15,000 per client by document volume — roughly HUF 470,000–540,000 a month at ten clients. The fee covers more than software: the ATAILA private-AI platform and the finished, bookkeeping-tuned application together. The Pricing page has the details.
Do we need IT staff or our own server?
Not for Kontír AI Cloud: ATAILA hosts and operates it on its own EU infrastructure, and the firm starts on a subscription with no upfront investment. Your own server is only needed for the Enterprise edition — there the whole system runs on the firm’s own hardware, with full data sovereignty.
What is a posting suggestion?
For every processed document the system proposes an accounting entry based on the Hungarian chart of accounts and the firm’s own habits — it learns how the firm books things for each specific client. A suggestion stays a suggestion: the accountant can amend it or approve it.
Can a firm use it across all of its clients?
Yes — Kontír AI is built specifically for multi-client accounting work: it learns habits separately per client, and the subscription scales per client by document volume. A firm can also resell Kontír AI to peer firms through a channel partnership, with revenue sharing.
Does it only handle document processing?
Today the focus is the document-to-posting workflow: ingestion, data extraction, NAV reconciliation, posting suggestions and approval. The same platform is expanding further: payroll automation, a VAT-return assistant, year-end financial statement preparation, cash-flow forecasting and a client portal.
